As an Administrative Coordinator, you will be the backbone of our sales department, ensuring seamless administrative support to our team and enhancing the efficiency of our processes. Your role is pivotal in maintaining organized and efficient administrative systems, facilitating smooth communication, and contributing to the overall success of the department. Your main tasks will comprise of, but not limited to:

  • Ensure timely follow-up and collection of KYC documents from clients.
  • Review KYC packs and complete the checklist accurately.
  • Upload KYC folders to SharePoint and Teams for easy access and collaboration.
  • Enter clients’ personal details into the CRM system and maintain its accuracy by updating it with any amendments.
  • Convert client interest into opportunities and record reservation details accordingly.
  • Consolidate all options within the CRM and revise price lists accordingly.
  • Schedule and update meetings when required.
  • Take notes and prepare minutes of meetings.
  • Communicate with internal or external contacts as necessary.
  • Serve as the primary contact for management, teams, or external parties, addressing inquiries, resolving issues, and providing information, or directing them to the appropriate resources to minimize disruptions.

Qualifications, Skills and Experiences required:

  • Completion of HSC/Baccalaureate level education. Possession of a secretarial certificate or qualification would be advantageous.
  • Minimum of three years of experience in a similar role.
  • Proficient in both spoken and written English and French, with the ability to articulate ideas clearly and concisely.
  • Strong multitasking abilities.
  • Demonstrated capacity to maintain discretion and uphold confidentiality.
  • Dynamic, proactive, reliable, self-motivated, and customer service-oriented.
  • Excellent communication, organizational, and administrative skills.
  • Capable of working independently and collaboratively within a team.
  • Computer literate and knowledge of Microsoft Office with the ability to learn new software applications.
